Pop Pxl, LLC ("Pop Pxl," "we," "us," or "our") respects the privacy of our clients, partner organizations, and the families and individuals we photograph. This Privacy Policy explains what information we collect, how we use it, and the choices available to you. It applies to our website, our client galleries, and our services for schools, sports leagues, dance and cheer organizations, and event and photo booth clients.
This Privacy Policy works alongside our Terms and Conditions, which govern how photographs themselves may be used. If you have questions about image usage specifically, please refer to that document as well.
1. Information We Collect
We collect information in a few different ways, depending on how you interact with Pop Pxl:
Contact and billing information: names, email addresses, phone numbers, mailing addresses, and payment details provided when you book a session, place an order, or sign a contract with us, processed through our invoicing and studio management systems.
Gallery and order information: names, grade or team affiliation, order history, and delivery preferences stored in our gallery and picture day platforms.
Photographs and video: the images and video we capture during sessions and events.
Website and marketing data: pages viewed, general location, device and browser type, and interactions with our website and email campaigns, collected through analytics and advertising tools.
Information provided by schools and organizations: for school, league, and studio clients, participant names, grade or team information, and parent or guardian contact information are typically provided to us by the school, league, or studio itself, rather than collected directly from the individual.
2. Information From Children
Many of the people we photograph are minors. We do not knowingly collect personal information directly from children under 13 through our website or online forms. Any information we hold about a minor, such as a name, grade, or team, is provided to us by a parent, guardian, school, league, or studio for the purpose of fulfilling a photography order or session, consistent with the Children's Online Privacy Protection Act (COPPA).
Parents and guardians who have questions about information we hold about their child, or who want to request that it be removed, can contact us using the details in Section 9.
3. School Partnerships and Student Records
When we work with a school or school district, that school remains responsible for compliance with its own student privacy obligations, including the Family Educational Rights and Privacy Act (FERPA), for any student information or directory information it shares with us. Pop Pxl acts as a service provider to the school for the limited purpose of producing and delivering photography, and uses student information only as needed to complete that work and in line with our agreement with the school.
4. How We Use Information
We use the information we collect to:
Schedule and deliver photography sessions, galleries, and products.
Process payments and manage invoices.
Communicate with clients and organizations about orders, sessions, and account matters.
Send marketing emails and newsletters about upcoming picture days, seasonal promotions, or new services, with an option to unsubscribe at any time.
Understand how our website is used and improve it, using tools such as Google Analytics.
Deliver and measure the performance of advertising on platforms such as Meta (Facebook and Instagram), including retargeting website visitors with relevant ads.
5. Use of Photographs
How we may use the photographs we create depends on the type of session, and is described in detail in our Terms and Conditions. In general:
We do not use school photography images in our own marketing or advertising without a signed parent or guardian release.
We may use sports and dance photography, and event or photo booth images, for our portfolio and social media as part of our ordinary business promotion, with an opt-out available at any time.
We never use an identifiable photo in paid advertising without separate written permission.
6. Cookies and Tracking Technologies
Our website may use cookies and similar tracking technologies, including those associated with Google Analytics and the Meta pixel, to understand site traffic and measure advertising performance. You can control cookies through your browser settings, and you can opt out of interest-based Meta advertising through your Facebook or Instagram ad preferences, or through industry tools such as the Digital Advertising Alliance's opt-out page.
7. Third-Party Service Providers
We use trusted third-party providers to run parts of our business, including invoicing and accounting, client and gallery management, photo editing, website hosting, and advertising and analytics. Each provider only receives the information necessary to perform its function and maintains its own privacy and security practices. We choose providers that maintain reasonable safeguards for the information they handle for us.

Unsubscribe from marketing emails using the link in any email we send.
Request that we stop using your or your child's image in our portfolio or social media, as described in our Terms and Conditions.
Ask what information we hold about you or your child, and request corrections or deletion where reasonably possible.

10. Data Security
We take reasonable measures to protect the information we hold, including relying on reputable third-party platforms with their own security safeguards for payment processing, gallery hosting, and file storage. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.

We may update this Privacy Policy from time to time to reflect changes in our practices or services. The effective date at the top of this page reflects the most recent revision. We encourage you to review this page periodically.
